The data shown in the Website Registry includes:
- the names and email addresses of the people who own, edit, and support each website
- the content management system (CMS) system used to manage the site
- the main audience for each website
What is its purpose and who is it for?
All Queen鈥檚 employees (faculty, staff, and student-staff ) with a NetID can view the website registry to discover and contact the people responsible for our public-facing websites.
It is meant to be used by individuals as well as by marketing and communications teams and governance groups.
The people listed in the registry may be contacted to share information about:
- policy updates related to Queen鈥檚 digital environment
- changes that may affect multiple websites (e.g., URL updates, name changes, new processes, deadlines)
- errors (like broken links or typos)
- compliance issues (branding, accessibility, privacy, security)
- ways to improve usability
- training opportunities to build digital skills
Who updates it?
The Website Registry is a self-service tool.
Anyone responsible for an official Queen鈥檚 website is expected to keep its registry entry up to date.
This may include:
- a site contact, such as the site owner, primary editor/main contact, or lead technical support person
- a member of a faculty marketing and communications team (for faculty-related websites, even if they don鈥檛 directly manage the site)
- a representative from a central unit, service portfolio, or a vice-principal鈥檚 office (for websites within their area, even if they don鈥檛 directly manage the site)

About the editable data collected from the 魅影直播 community.
This role is typically held by someone in a leadership position, such as a director, department head, dean, AVP, or equivalent. The owner is ultimately accountable for the website鈥檚 content and for ensuring it complies with all required policies and standards.
For research labs and faculty profile websites, the owner would usually be the lead researcher or faculty member.
The name and email of the website owner is displayed and linked to their email address.
This must be a specific person, not a shared/group email.
The main contact is a person who regularly edits the website content and can answer general questions about how the site is managed.

Conditions where no name is required for tech contact
Where "WebPublish (Queen鈥檚-supported)" is shown as the CMS Type in the Registry, the tech contact is the WebPublish team. Leave the Tech Contact field empty for these websites. (Find more on this under CMS Type info.)

About the WebPublish selections
"WebPublish for Developers" was formerly known as the WebPublish "Advanced" service
"WebPublish (Queen鈥檚-supported)" applies to websites built through:
- the Comprehensive service (formerly known as "Basic")
- the Academia service.
About the non-editable data and where it comes from.
When a name is selected as a contact, 魅影直播 IT Services NetID/Identity Management System connects it to the associated email.

This information is automatically pulled into the Website Registry from Queen鈥檚 Siteimprove account.
All official university websites are tracked in Siteimprove. To support sorting and filtering, the Siteimprove admin group established a naming convention that uses abbreviations for faculties, portfolios, and departments. These abbreviations are intended for internal organization and do not fully reflect Queen鈥檚 organizational structure. The same naming conventions are used as filtering options in the Website Registry.

The filtering drop-down shows the initialization used in Siteimprove naming convention. Not all entries include department. A definition for each initialization appears in the filtering drop-down.
Other features and functionality
Pending Approval" tag:
The "Pending Approval" tag shows on an entry when someone has submitted a change to the editable data. Changes are reviewed and approved/rejected by the system administrators.
"Needs Review" tag:
The "Need Review" tag shows when the NetID of a site contact either becomes inactive or if the associated department changes in the Identity Management System.
Search and filter options:
- Use the search bar to find site(s) by an associated contact name, keywords, or URL path
- Use one or more filtering options to refine the results
Email notification:
Anyone who submits a change to the Website Registry will receive confirmation of the transaction by email.
Last updated:
- The "Last Updated" date and time information is on view for all users.
- The NetID of the submitter and the and nature of each change submitted is also logged for use by system administrators.
Data export:
The full data or a subset of the data can be exported in .csv format.
Any search/filters that have been applied to the registry will apply to the export.
- Click the export icon (styled in yellow in the lower right-hand side of the screen).
- Toggle on/off the fields you wish to export. (By default, all fields are exported.)
- Select the Download CSV button.
- The CSV file will appear in your downloads.
How to edit an entry
Submitting changes to Website Registry entry will put it into an approval queue. It can then no longer be edited until the request is processed by the admin team.
- Select the Edit button.
- Make any changes you need.
- Select Save.
- Select the Edit button.
- Make any changes you need.
- Choose how to handle the flagged entries:
- Accept as-is will set that user as the contact going forward and allow you to save your other changes.
- Ignore for now will leave the site in a "Needs Review" state but allow you to save your other changes.
- Picking a new contact will clear the "Needs Review" state and allow you to save your changes.
- Select Save.
